You’ll supervise and perform administrative duties including pre-admission bookings, arranging and recording admission details, answering calls, and resolving patient complaints.

As a Medical Records Section Leader, you’ll play a vital role in leading teams to manage patient records and accounts. You may also be responsible for assisting with internal and external audits and responding to general patient enquiries.

You’ll be responsible for the clerical and reception duties in a hospital ward or clinic, ensuring all patient records are up-to-date, secure and available to healthcare practitioners as required.

Education 

While there are no formal entry requirements mandated by this training package, students’ skills and capabilities to undertake this qualification will be assessed and advice on suitability will be provided during the pre-enrolment process. 

Parental permission 

Students under 18 are required to have their enrolment form signed by a parent or guardian. 

Residency status 

Students will need to be a permanent Australian resident (or equivalent) or have the right to study in Australia. 

Assessments may include knowledge questions, case studies, and workplace observation. 

Knowledge questions 

Students are presented with short-answer questions relative to what they have learnt within the unit. 

Quiz 

Students are presented with quizzes that include multiple choice, matching, true/false to test the students’ Knowledge. 

Case study 

Students are given a scenario and asked to respond as the circumstances change. The assessor looks at how the student effectively manages a range of situations and applies their knowledge to each one. 

Workplace observation assessment 

Students are required to complete set tasks with the nominated workplace supervisor, as per the Placement Agreement. This also includes the completion of task documents and templates, which the student must complete with observation tasks. This assessment must be completed in a pre-approved health administration workplace under the direct supervision of a suitably qualified, pre-approved workplace supervisor or supervisors.

Students must perform tasks under the direction of a qualified supervisor as per the performance requirements for each unit of competency. The supervisor must meet the following criteria:  

Option 1:  Hold a Certificate IV in Health Administration qualification or higher, and currently be working in the industry; or 

Option 2:  Have a minimum of two years working in the industry in one of the below positions: 

  • Practice Manager 
  • Senior Administration Officer  

Students are responsible for sourcing appropriate work placement host employers. Foundation Education may provide students with support and guidance to identify work placement opportunities.

Given that some students may already be able to demonstrate their competence in some units, a recognition of prior learning (RPL) assessment process may be available to students to recognise skills and knowledge that may have been gained through formal and informal training and/or learning, work experience and life experience.

Foundation Education does not currently offer any government funding for this qualification.

Internet: High-speed internet such as Broadband or ADSL, T1/T2, fiberoptic (Dial up access is not recommended) 

Windows: Operating system – Windows 8 or above

This unit applies to a range of health and community service contexts where workers may communicate face-to-face, in writing or using digital media and work with limited responsibility under direct or indirect supervision.

This unit describes the skills and knowledge required to identify and work within the legal and ethical frameworks that apply to an individual job role.

This unit applies to community services and health workers who play a proactive role in identifying and meeting their legal and ethical responsibilities. 

This unit describes the skills and knowledge to deliver and maintain a high standard of service. This unit applies to workers in a range of community services and health contexts where direct support services are provided. Work may be performed as an individual or as part of a team under limited supervision. 

This unit describes the skills and knowledge required to understand and respond to instructions; to carry out routine tasks and communicate with a range of internal/external clients in a medical environment; as well as use appropriate medical terminology.

It applies to individuals who apply a broad range of competencies in various medical administration contexts. They may exercise discretion and judgment using appropriate knowledge to provide technical advice and support to a team.

This unit describes the skills and knowledge required to respond effectively to behaviours of concern of people. Skills are associated with handling difficult incidents rather than managing ongoing behaviour difficulties. 

This unit describes the skills and knowledge required to provide instructions and information to clients, pro-actively follow up clients and liaise with other service providers to support a coordinated care approach. This unit applies to individuals who assist and work under the delegation of health professionals. 

This unit describes the skills and knowledge required to identify and implement ways of promoting innovation within team environments in the workplace. The unit applies to individuals who are team participants or team leaders responsible for playing a proactive role in demonstrating innovation in a formal or informal team environment. No licensing, legislative or certification requirements apply to this unit at the time of publication.

This unit describes the skills and knowledge required to manage a patient recordkeeping system within a medical environment and to supervise others. It covers clarifying roles and responsibilities, managing the operation of a patient recordkeeping system, and reviewing and improving the system. The unit does not cover the design of a new system but does cover reviews and improvements to an existing system. 

This unit describes the skills and knowledge required to evaluate and enhance own practice through a process of reflection and ongoing professional development. This unit applies to workers in all industry sectors who take pro-active responsibility for their own professional development.

The skills in this unit must be applied in accordance with Commonwealth and State/Territory legislation, Australian/New Zealand standards and industry codes of practice.
